Customizing .INI files (ORGANIZE.INI, LOTUS.INI, WIN.INI) ============================================================ The Organizer uses three initialization files, or .INI files, during its operation. ORGANIZE.INI stores all your personal preferences and default options. LOTUS.INI is used to store information that is useful to all Lotus applications, such as Lotus application pathnames. WIN.INI stores the association for .ORG files and the settings for Lotus mail applications. You can edit or view these files using the Windows Notepad program or by using an Organizer Notepad Text File page. ORGANIZE.INI ------------ The default ORGANIZE.INI file is installed in the program directory specified during installation (for example, C:\ORGANIZE). When you use the Options menu to change any of the default settings, a copy of the ORGANIZE.INI file containing your personal settings is made in your Windows directory. If you ever want to return the Organizer to its default settings, you can delete the ORGANIZE.INI file from your Windows directory. The Organizer implements a two level system for checking specific settings within the ORGANIZE.INI file. First, it checks the ORGANIZE.INI file in your Windows directory. If the settings are not found there, it checks the ORGANIZE.INI file in the program directory (for example, C:\ORGANIZE). For a complete description of all the possible settings allowed in ORGANIZE.INI, please see section 13 'A complete ORGANIZE.INI file'. LOTUS.INI --------- The Organizer uses the [Lotus Applications] section within the LOTUS.INI file in the Windows directory for locating other Lotus applications. If no .INI exists, the Organizer will refer to the WIN.INI [Extensions] section. If this fails, it will try the applications default install directory on C:. If this also fails, a Browse dialog box is displayed to help locate the application. WIN.INI ------- The Organizer uses the following sections in the WIN.INI file. For cc:Mail, the Organizer uses the following section: [LotusMail] application=wMail ; Mail application name program=ccmail.EXE SendMail ; Full path to mail program For Lotus Notes, the Organizer uses the following section: [LotusMail] application=Notes program=Notes.EXE [Extensions] ORG=C:\ORGANIZE\ORGANIZE.EXE ^.ORG ; Full path to Organizer application [windows] load=C:\ORGANIZE\ORGANIZE.EXE ; Load Organizer automatically under ; Windows 3.0 ---------------------------------------------------------------------------- 2. Printing tips ================== HP LaserJet ----------- When printing from the Organizer to an HP LaserJet series printer, it is important that the Windows printer driver be configured to match the printer's memory capacity. If the driver is configured such that the memory setting is higher than the amount actually available on the printer, memory overflow errors on the printer can result. To configure the printer driver, choose File/Printer Setup and choose Setup, select the required memory, and choose OK. To print pictures on labels --------------------------- 1. Create a Notepad page with a bitmap or metafile picture on it. 2. Drag and drop the page to the Clipboard icon in the Toolbox. 3. Drag copies of the page off the Clipboard icon into your Notepad for the number of labels you require (for 2x3 labels, you need six copies so you will create six Notepad pages) 4. Click the Printer icon. 5. Select the label paper required. 6. Select Format as Labels. 7. Specify the first page number in Range From and the last page in Range To. 8. Specify the number of sheets of labels to print in Copies. 9. Choose OK. 10. Refeed labels back through the printer to add addresses onto the labels. NOTE: You can also experiment with Fit to page and Keep aspect ratio in the Notepad Page Edit dialog box. Printing Labels in Sequence --------------------------- When you print labels in two columns, you can select Side by side pages for the Layout option in File/Page Setup to print the labels sequentially all the way down the first column, and then to flow to the second column. For example: 13 19 14 20 15 21 16 22 17 23 18 24 If you don't select Side by side pages, two columns of labels will print as in this example: 13 14 15 16 17 18 19 20 21 22 23 24 .PLT files ---------- The Organizer comes with a number of predefined paper layout files. These files have a .PLT extension and are stored in the \ORGANIZE directory. If you create a new paper layout or edit an existing layout, the new .PLT file is created in the Windows directory. This prevents network users who share a common \ORGANIZE program directory from overwriting each other's paper layout (.PLT) files. ---------------------------------------------------------------------------- 3. Adding a front page logo =========================== You can display your own logo on the front page of the Organizer. This can be achieved by either specifying an alternate Windows bitmap .BMP file or by pasting directly onto the front page. For an example of customized front page, open ALMANAC.ORG in the \SAMPLES directory. Specifying a .BMP file ---------------------- If you want all your .ORG files to display the same logo on the front page, use this option. This is particularly useful on a network when you want all Organizer users to display the same corporate logo. 1. Create the required logo in Windows Paintbrush or an alternate drawing program. 2. Save the logo to a Windows .BMP file. NOTE: The recommended size on a VGA screen is 208x126 pixels. 3. Edit the ORGANIZE.INI file using Windows Notepad. 4. Create a [TITLE] section and add a Logo setting as below: [TITLE] Logo= ;e.g. Logo=C:\ORGANIZE\MYLOGO.BMP 5. Save the changes and restart the Organizer. Two additional settings are available to control the display of the front page logo: FitToPage=1 ; Stretch or shrink to the size of the page WholePage=1 ; Don't center on page (don't display the text box) ; The recommended size for a whole page logo on a ; VGA display is 242 x 375 pixels. Pasting a bitmap onto the front page ------------------------------------ If you want a particular Organizer file to display a front page logo you can paste it directly onto the front page. 1. Create the required logo in Windows Paintbrush or an alternate drawing program. 2. Copy the bitmap to the Clipboard. 3. Open the Organizer file or turn to the front cover. 4. Hold down SHIFT and choose Edit/Paste. NOTE: Paste will be grayed out if no bitmap is available. Three additional operations are available to control the display of the front page logo. SHIFT+CTRL + Paste ; Don't center on page (don't display the text box) ; The recommended size for a whole page logo on a ; VGA display is 242 x 375 pixels. SHIFT+ALT + Paste ; Stretch or shrink to the size of the page SHIFT+CTRL+ALT+Paste ; Both of the above If you want to remove a bitmap front page logo and revert to the default Lotus Organizer logo, hold down SHIFT and choose Edit/Clear. ---------------------------------------------------------------------------- 4. Starting the Organizer automatically and opening files ========================================================= You can have the Organizer start each time Windows starts. For Windows 3.0 --------------- You can add the Organizer to the WIN.INI load setting: 1. From the Program Manager, choose File/Run. 2. Type WIN.INI. 3. Choose OK. This will run the Windows Notepad and load the WIN.INI file. 4. At the top of the Notepad Window, you will see a section called [windows]. 5. Edit the line that begins with Load= to reflect where the Organizer is installed. For example, you might edit this line to read: Load=C:\ORGANIZE\ORGANIZE.EXE NOTE: If the line that begins with Load= does not exist, add it to the file. NOTE: If you want the Organizer to open each time you start Windows, edit the Run setting instead. For Windows 3.1 ---------------- You can add the Organizer to the Windows StartUp group: 1. Open the Lotus Applications Program Manager group. 2. Open the StartUp Program Manager group. NOTE: Both these group windows must be visible at the same time. 3. Drag the Lotus Organizer icon over the StartUp group window and drop it. NOTE: Hold down CTRL to take a copy of the icon. Removing an automatically loaded file ------------------------------------- To remove an automatically loaded file you must edit the ORGANIZE.INI file in the Windows directory. 1. Run the Windows Notepad program. 2. Choose File/Open and select the ORGANIZE.INI file. 3. Scroll to the [Settings] section. 4. Edit the Startup File setting as below: Startup File=C:\ORGANIZE\MYFILE.ORG to Startup File= 5. Save the changes and exit Notepad. 6. Run the Organizer. Removing Organizer files from the File menu ------------------------------------------- When you choose File/Open you can add up to five frequently used Organizer filenames to the bottom of the File menu. To do this, select a filename and then select 'Add to File menu'. To remove a filename from this list: 1. Choose File. 2. Hold down SHIFT. 3. Select the filename to be removed. ---------------------------------------------------------------------------- Specifying a default [Untitled] file --------------------------------------- When you choose File/New a new [Untitled] default Organizer file is created. However, you may want to customize an Organizer file and use this as the default for a new [Untitled] file. For example, you may want to change the tab names, colors, and sequence or add a new section containing information on your company. To specify a default file: 1. Edit the ORGANIZE.INI file. 2. Add a default setting to the [Settings] section as follows: [Settings] Default=PATH\FILENAME.ORG For example, Default=C:\ORGANIZE\ORGFILES\COMPANY.ORG 3. Save the changes. 4. Run the Organizer and choose File/New. ---------------------------------------------------------------------------- 5. Using cc:Mail and Lotus Notes mail ===================================== Sending pictures with cc:Mail ----------------------------- To send a picture from a Notepad picture page: 1. Drag the picture page to the Clipboard icon in the Toolbox. 2. Run the Windows PaintBrush application. 3. Paste the picture into the PaintBrush window. 4. Save the file. 5. When you send your mail, attach this file to the mail message. Sending pictures with Lotus Notes mail -------------------------------------- To send a picture from a Notepad picture page: 1. Drag the picture page to the Clipboard icon in the Toolbox. 2. Switch to the Lotus Notes mail application and compose a mail message. 3. Position the insertion point in the body of the mail message where you want the picture and choose Edit/Paste. When you send the mail, it will include the picture. Checking for new mail --------------------- You can change the frequency with which the Organizer checks with the mail application for new mail messages: 1. Run Windows Notepad. 2. Choose File/Open and select ORGANIZE.INI. 3. Create or edit the [LotusMail] section as follows: [LotusMail] Frequency=300 ; Specify a value between 0 and 32,000 seconds ---------------------------------------------------------------------------- 6. The \ORGFILES subdirectory ============================= The Organizer by default stores .ORG and .BAK (backup files) in the ORGANIZE\ORGFILES subdirectory. The install program automatically creates this directory. To store your Organizer files on a different drive or directory, edit your ORGANIZE.INI file [Settings] section as follows: [Settings] OrgFiles= For example: O:\NETAPPS\DATA\ORGFILES This is particularly useful if you are installing the Organizer on a network drive and want the .ORG files stored separately from the program. ---------------------------------------------------------------------------- 7. Uninstalling the Organizer ============================== The Install program copies an UNINSTAL.EXE program to the destination directory. Running this program will delete the Organizer entirely from your hard disk. To uninstall the Organizer: 1. From the Windows Program Manager, choose File/Run. 2. Type the path to the uninstall program. For example, C:\ORGANIZE\UNINSTAL.EXE 3. Choose OK. 4. Follow the prompts on the screen. ---------------------------------------------------------------------------- 8. Installing on a network ========================== The Organizer can be quickly and easily installed on a network by specifying a network drive during installation. You can then update each workstation to access the Organizer from the network drive. Alternatively you can install the Organizer on each workstation and use the OrgFiles setting to access Organizer files from a network drive. Lotus Organizer's two level system of checking the ORGANIZE.INI file allows global settings to be added to the network ORGANIZE.INI file and individual users the ability to override default settings by modifying the ORGANIZE.INI file in their Windows directory. Please refer to section 3 'Adding a front page logo', section 4 'Starting the Organizer automatically and opening files', and section 6 'The \ORGFILES subdirectory', for more information on configuring the Organizer. ---------------------------------------------------------------------------- 9. Address section sorting ========================== In the Address section, multiple fields are used to sort the addresses. If no Company name or no Last name is entered, an alternate field is used to sort the address. This works as follows: Sort By Fields used ------- ----------- COMPANY Company/Last Name or if no Company, LastName/FirstName or if no Company and no LastName, FirstName LASTNAME LastName/FirstName or if no LastName, FirstName/Company or if no FirstName and no LastName, Company ---------------------------------------------------------------------------- 10. Sizing the Organizer window =============================== When the Organizer closes, it will remember the window size and position. To reset the window to the default size (640x480), hold down CTRL when you start the Organizer. To not save the size of the Organizer window on closing, hold down CTRL when you exit the Organizer. ---------------------------------------------------------------------------- 11. Creating alarm tunes ======================== The Organizer provides a number of tunes to play for an alarm. If you want, you can create your own additional tunes. The definition of each tune is held in the [Tunes] section of the ORGANIZE.INI file which resides in your \ORGANIZE directory. Each tune entry is in the following format: TuneName = Note/Duration,Note/Duration,.... TuneName The name that appears in the tunes list Note A value that represents a Note (see table below) Duration A value that represents a duration To create a tune: 1. Work out the notes and pauses that comprise the tune. Specify the note duration values. These range from 2 to 100 and represent fractional notes; that is, 2 is ½, 4 is ¼. Therefore a ½ note is twice as long as a ¼ note. Some experimentation is required to achieve the exact effect you want. Silent has the following note values and note duration values: Silent=31/4,33/12,31/6,28/4,0/8 ---------------------------------------------------------------------------- 12. Using the Organizer as a Windows shell application ====================================================== The Organizer can be used as a Windows shell application in place of the standard Program Manager by processing the WIN.INI load= and run= lines. It will also prompt you to shut down Windows if you close it. You can also use the System menu Run command and Organizer Reference links to run other applications or files. To make the Organizer the Windows shell: 1. Edit the SYSTEM.INI file from the WINDOWS\SYSTEM subdirectory. 2. Change the Shell setting in the [boot] section as follows: [boot] shell=C:\ORGANIZE\ORGANIZE.EXE 3. Save the changes. 4.
